When should I exit a learner from my class?
1. After receiving confirmation that a learner is no longer able to attend ALTA Program instructional
sessions OR at the end of a program year, complete the
bottom of the ALTA Program Data Form (ABE/ASE or ESL).

Enter a met date under each goal met
If learners completed a LEVEL, circle whether they did so with POST TEST or CHECKLIST.
Return the top copy, along with samples of the learner's work, the CASAS Individual Profiles attached to assessment answer sheets, and/or Level Attainment Competency Checklists with documentation attached, to the office when dropping off weekly Time Record and Adult Learner's Contact Record Forms.
The exit information will be
filed in the confidential work folders here in the office. The remaining contents of the work folders need to be put into the "To
Be Shredded Box" in the ALTA office.
2. When learners miss two consecutive classes, contact them via phone. If you have not been successful in contacting the
learners and/or they have not returned to class after 90 days, exit them from the program. Follow the same procedure as in #1
above.
3. After a learner has taken the actual GED exam, AND you have received their actual exam scores, exit them from the
program following the same procedure as above in # 1. Also, include those actual GED scores on the ALTA Program Data Form.
The time spent exiting learners should be done as part of your Additional Instructional Responsibilities (A.I.R.) time.
What Program procedures do I need to follow
for learners who are continuing into the next fiscal year?
At the beginning of each fiscal year (July 1st), the goals of the learners who are continuing into the next fiscal year
need to be re-evaluated/redefined. Appropriate goals need to be set for this new fiscal year. This is a good time to
discuss the learners' progress, as well as, help them better define what Core
and/or Secondary goals they want to
accomplish. The National Reporting Standards
(NRS) goals are set as Federal goals when the learner has a reasonable chance of accomplishing the goals within the current fiscal year (July
1st-June 30th). Otherwise, the goals are set as Personal goals.
Also, at the beginning of each fiscal year, continuing adult learners' type of test needs to be changed in the Program's
data management information system from post test to pretest. In order to make those changes
most
efficiently, please read over these procedures that follow carefully.
1. For each learner who is continuing into the next year, complete a NEW
enrollment form and start a NEW ALTA Program Data Form . Mark the
current program year at the top of the form near the title: PY
02-03.
2. Next, refer to the LitPro Assessment Report, and on the new ALTA Program Data Form, rewrite the post test
documentation from the previous fiscal year that corresponds to the learners' current Educational Functional Level in the pretest
section. For an adult learner who only took the GED practice test, the Educational Functional Level is determined by the
number of subtests passed.
3. Review last year's NRS, Secondary, and Personal goals with the learner. Decide which goals will be set for the current
fiscal year and indicate the date set.
4. Return the top copy of the Data Form and the enrollment form to the ALTA Program office along with the other documentation returned each
week.
**One suggestion to help this process go more quickly for you and the learners might be to have them help you
complete the forms. Do the whole thing as a lesson in completing forms accurately!! You could discuss the importance
of setting realistic goals. Help them realize what the assessment scores mean to us and for their progress in the
program. If anyone has other suggestions, please feel free to forward them to the whole staff via the

learners!
